These are the terms and conditions that govern your attendance and/or participation in IES 2019
These are the terms that govern your attendance and/or participation in the International Education Symposium (IES) 2019, an event jointly organised by Sweet Adelines International and the Quartet of Nations Region 31 (hereinafter collectively referred to as the “organisers”).
Submission of a registration is regarded as a firm booking, subject to availability, and acceptance of these terms and conditions. Registration can only be done via an online form.
If you are registering on behalf of another, it is your responsibility to ensure that the person attending is aware of these terms and accepts them. By completing the registration, you are warranting that you have made the attendee aware of these terms and that they have accepted these terms.
Persons registering as youth (whether members of Sweet Adelines International or otherwise) must be aged 25 and under by 25 July 2019.
You guarantee that all information provided during registration is correct and up-to-date.
Registration to IES 2019 will be confirmed via email.
Full payment of the registration fee is due upon registration. If such payment is insufficient or declined for any reason, the organisers may refuse to admit you to IES 2019 and shall have no liability in that regard.
Payment can be made using one of the following methods:
- Credit or debit card via the secure payment site Stripe (Visa, Mastercard, Discover, American Express)
If you are using another person’s payment details, you guarantee that you have explicit permission to do so.
A receipt will be sent to you via email upon successful payment.
Your registration entitles you to admittance to the following:
- Admission to all sessions (plenary and elective)
- Admission to the Rising Star Contest
- Gala dinner and keynote session (25 July 2019)
- Lunch and dinner (26-27 July 2019)
- Refreshments (26-28 July 2019)
Any and all other costs associated with your attendance (including without limitation any travel and/or accommodation expenses) shall be borne solely by you and Sweet Adelines International nor the Quartet of Nations Region 31 shall not be liable for such costs.
Admission to the elective session at IES 2019 is subject to the room capacity.
The organisers reserve the right to request your removal from IES 2019 if the organisers, in its sole discretion, considers your presence and/or behaviour to create a disruption or to hinder IES 2019 and/or the enjoyment of the event by other attendees or speakers.
If you are unable to attend IES 2019, a substitute delegate attending in your place is welcome provided that you notify the organisers in writing no later than 23 July 2019 and have made payment in full. Please notify any substitutions by email at firstname.lastname@example.org
If you need to cancel, you must do so in writing by 27 May 2019. You will be refunded the full amount of registration less a £50 processing fee. Cancellations made after 27 May 2019 will not be entitled to a refund. Late arrivals, early departures and ‘no shows’ are also not entitled any refund of the registration fee.
Refunds will be applied to the method used for payment of the original fee.

By attending IES 2019 you acknowledge and agree to grant Sweet Adelines International and the Quartet of Nations Region 31 the right to record, film, photograph or capture your likeness in any media now available and hereafter developed and to distribute, broadcast, use or disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use and/or disseminate the media.
If you wish not to be photographed or filmed, please let the organisers know on arrival.
As a registered delegate, you will be provided with the appropriate learning media for the song, Celebration. License has been secured for use by registered attendees only. Should you wish to learn and perform Celebration outside of IES 2019, you must contact the publishers, Hal Leonard, for permission.
Sweet Adelines International and the Quartet of Nations Region 31 is committed to providing access for all. The IES 2019 is held at a venue that is wheelchair accessible. Please let the organisers know your requirements as early as possible – either at the time of registration or by emailing firstname.lastname@example.org
The organisers, in their sole discretion, reserve the right to change any and all aspects of IES 2019, including but not limited to, the event name, themes, content, program, faculty, performers, hosts, moderators, venue and time as well as these terms and conditions.
Cancellation of the event
In the unlikely event that IES 2019 has to be cancelled, you will be refunded any pre-paid registration fees. The organisers shall not be liable for reimbursing the cost of travel, accommodation or any other arrangements made by you.
Registration for IES 2019 is managed using a system commissioned and operated under contract with the Quartet of Nations Region 31. Data, including personal information, are processed and stored on the system. This data can only be accessed by authorised personnel of Sweet Adelines International and the Quartet of Nations Region 31.
Where Sweet Adelines International or the Quartet of Nations Region 31 contracts with additional third parties to manage IES 2019, access to the data may also be provided to them in order to fulfil their services to Sweet Adelines International or the Quartet of Nations Region 31.
The information you have provided will only be used to contact you about IES 2019 unless you have indicated otherwise.
Limitation of liability
Personal arrangements including travel, accommodation or hospitality which have been arranged by you are at your own risk.
Neither Sweet Adelines International, the Quartet of Nations Region 31 nor the venue will be responsible for any loss, theft or damage to your personal belongings.
You will be responsible for paying for any damage which you cause to property at the venue including the cost of additional cleaning where charged by the venue.
Nothing in these terms and conditions will operate to limit or exclude liability of each party for death or personal injury arising out of its negligence, or for its fraud nor any other liability which cannot be excluded or limited under applicable law.
Subject to the paragraph above, in no circumstances will either party be liable to the other party for any loss of business, revenue, profits, anticipated savings or goodwill (whether direct or indirect) or for any indirect, special or consequential loss, arising out of or in connection with these terms and conditions and the event.
